The Follow-Up Machine

Every call, text and email logged on the customer, every lead that's waiting given a reason and a date it comes back, and the ones not ready yet kept warm until they answer — one system for the whole post-frame sales job, from the office or from a phone in the truck.

The operating system built exclusively for post-frame and barndominium builders.

Instead of: Half the conversation on one rep's phone, the other half in his personal email, follow-ups that live in his head until he forgets one, and the leads who said “maybe next spring” never heard from again.

The short answer

What should post frame lead follow up software do?

It should put every call, text and email on the customer, not on one rep's phone, and turn each waiting lead into a task with a date, a name and a reason. Good post frame lead follow up software keeps buyers who aren't building this season on a sequence that stops itself when they reply, book or unsubscribe, so the barndominium buyer waiting on the bank still hears from you in spring.

Why it works
  • A vague plan to "call him back" slips; a plan tied to a cue gets done. Gollwitzer's research program shows that if-then plans ("when situation X arises, I will do Y") hand the action to the cue and further goal attainment. A follow-up with a date, a name and a reason is exactly that kind of plan. Gollwitzer, 1999 ↗
  • Many barndominium buyers go quiet because the bank, not the builder, is the hold-up. A lender explains that appraised value, with too few comparable sales, is the main reason most lenders don't offer barndominium construction loans, so "waiting on financing" is a real reason to come back later, not a dead lead. Hurst Lending ↗
  • Barndominium buyers arrive wary and are coached to keep everything in writing, back up calls with email summaries and never take a contractor's word on trust. A builder whose whole conversation sits on the customer's record already works the way that buyer wants. Hansen Pole Buildings, 2019 ↗
  • When staff text customers from personal phones, the history belongs to the employee, teammates can't see it, and it leaves when they do, a business-phone vendor notes. One shared thread per customer keeps the conversation with the company. Quo (vendor), 2026 ↗
Where it starts

Every customer's conversation, in one list

Every call, text and email lands on the customer, not on the phone of whoever took it. The list reads like an inbox for the whole business: Marlin Zook saying he'll be out at the site Thursday, a voicemail from Curtis Hoover, Rosalyn Petersheim asking if the overhead door can move to the gable end. Anyone who opens it can pick the conversation up. Instead of a phone, an inbox and a spreadsheet taped together, it's one place — and a rep going on holiday stops being a risk.

When one rep is out for a week, his conversations go with him, and nobody knows what he promised.

Beat one

Calls, texts and emails in one running thread

Open Marlin and it's all there, in order: the email with his 40×64 quote, marked opened twice; his text asking to bump the sidewalls to 16 feet, and the answer; then the voicemail he left, with the recording on the thread instead of in a separate mailbox. A call is a row with its outcome, not a chat bubble. The next person to speak to him knows what was said, so Marlin never has to explain himself twice — and he notices.

A customer's history split between a cell phone, a personal inbox and somebody's memory is no history at all.

Thanks Marcus — the number works. One question about the sidewall height before we...
Can we bump the sidewalls to 16' instead of 14? Want the lift to clear.
Aug 22, 7:48 AM
Yes — 16' adds about $4,100. I'll send the revised quote this afternoon.

Your guys call from the business number

The phone is built in. Dial from the browser or the app and the caller ID is the business line, so the callback comes back to a number the office watches. Every call lands in Recents with how it went and how long it lasted — answered, no answer, left a voicemail — and in the customer's thread too. Your reps keep their own numbers private, and the customer stays with the business when a rep moves on.

Personal cell phones mean the customer has your rep's number, and when the rep leaves, the customer leaves with him.

Your best rep's routine, written on every card

Every stage carries its checklist on the card — the steps that must happen before the lead moves on, with the required ones counted. The owner of the lead is named at the top. You can change any stage's steps to fit how you actually sell. A new hire knows exactly what to do next, so he gains confidence fast, and every lead gets worked the same way no matter who has it.

A routine that lives in one man's head leaves with him, and nobody runs it the same way twice.

Every lead that's waiting has a date it comes back

A follow-up is a task with a date, a name and a reason: Ruth Zimmerman, Thursday, November 12 at nine, getting blueprints from an architect. Pick why they're waiting from the list — future buyer, waiting on financing, waiting on land or permits, building next season — or type it yourself. The reason shows as a tag on the card until the task is done; the board can hide the lead until it's nearly due and flags it when it comes back. A rep who can see who's waiting and why goes home without the nagging feeling he forgot somebody.

A follow-up kept in a rep's head happens when he remembers it, which is after the customer signed with someone else.

The leads who aren't ready yet still hear from you

Plenty of post-frame buyers aren't building this season. Put them on a sequence: emails — and texts, on a texting number — on a day schedule in your own words, day 0, 3, 7, 30, 60 and 90 in the starting template. Leads join it by stage, by source or by hand, messages go out only in the hours you set in the lead's own time zone, and it stops itself the moment they reply, book, move stage or unsubscribe. Each one shows who's in it, what was sent and who answered. The buyer who builds next spring remembers who kept in touch, and your rep doesn't have to be the one who remembers.

A lead told to call back in the spring is a lead nobody calls in the spring.

You can see which stage ate the days

Marlin's timeline shows every stage his lead passed through, how long it sat there, who moved it and which steps were done. Seven and a half hours to first contact — good. Nine days in Estimate Sent with the decision follow-up never ticked — that's the call nobody made. You see it on the lead, while it can still be saved, and the rep sees exactly where to pick it back up.

A lead's total age hides where the days went. Time in each stage is the honest measure of follow-up.

One record holds everything they told you

Phone, email, address, the building they want, the answers from the form and the estimate it turned into — all on one record. Marlin Zook: barndominium, estimate 990214, wants to start in spring. Whoever picks up his next call starts from what he already said. Customers buy from the builder who remembers them.

Asking a customer the same question twice tells him nobody wrote it down the first time.

Work the deal from its conversation, on your phone

The pipeline, the deal and the conversation are built for a thumb, not squeezed onto one. On a phone the card opens on its conversation — text, email or call from the same panel — with the details and the follow-up a swipe away. The reply goes out from the yard instead of waiting for the office, and the owner who's never at a desk can still run his sales.

Software that only works at a desk means every reply waits until somebody gets back to one.

Every part of it, in detail
Sales Pipeline Board
Every lead you have on one board, in one of nine stages built around how a post-frame building actually sells — and every card says whose it is, how long it has waited, and why it's waiting.
One conversation per customer
Every text, email, call, voicemail and photo for a customer sits in one thread on their record, in the order it happened.
The contact record
One panel beside the conversation holding how to reach them, what they are buying, where it came from, and who on your team has already tried them — and two clicks to their estimate.
The phone, built in
Make and take real calls inside the software, with the customer's file on screen and the call written to their record.
Your call list — the ones you added and the ones you owe
One list: the calls you meant to make and the missed calls nobody has returned — so the expensive half cannot be forgotten.
Operating checklists on each pipeline stage
Each pipeline stage carries an ordered list of steps to work through, editable by your company, with its own state on every deal — one system for the whole post-frame sales process, instead of a CRM that thinks you sell insurance.
Lead nurture sequences — follow-up that stops when they answer
Write your follow-up once — emails and texts on day 0, 3, 7, 30, 60 and 90 — and every lead gets it in your words, inside the hours you choose, until they reply, book, move stage or unsubscribe. Then it stops by itself.
Run the business from your phone
The pipeline, the deal, the estimate and the schedule built for a thumb, not squeezed onto one — swipe between stages, answer a customer from the alert, and send the quote from the yard.
THE SYSTEM, END TO END

Put every follow-up
on one board.

Every call, text and email logged on the customer, every lead that's waiting given a reason and a date it comes back, and the ones not ready yet kept warm until they answer — one system for the whole post-frame sales job, from the office or from a phone in the truck. Thirty minutes with Keith, on one of your real structures — and the link we build is yours to keep whether or not you go any further.
